Ruggiero Studios is deemed to be a ‘data controller’ and is registered with the Information Commissioners Office (ICO), registration number: TBC. Unless we are obliged or permitted to do so by law, we will not disclose of any of your personal information (data) to another third party without your consent.


We will never pass your information to any company so that they may market their products to you.


WHAT INFORMATION WE COLLECT ABOUT YOU

We may collect the following information, which includes personal information from you, when you visit our website, provide your details via an opt in form, when you subscribe to our mailing list, newsletter or updates, or request some information to be sent to you:

  • Name
  • Contact details such as mailing address, email addresses or telephone numbers
  • IP Address of your computer

In the event that you purchase a product or request a service from us, the above information will also be collected together with your address details, and payment details. Please note that whilst payment details will be collected as part of the online payment process, this information will not be stored by ourselves. If you purchase a product/service via the website, we use Stripe to process these payments. Please refer to Stripe’s privacy policy for further information as to what they do with your personal information. In the event that an invoice is provided, your bank details may be retained by our preferred banking partner and accounting system.


WHY WE COLLECT THE INFORMATION ABOUT YOU?

The data collected will be used by us to:

  • Contact you if you have made an enquiry via the website and have asked us to contact you.
  • Provide you with information that you have requested, including updates from us which we feel may be of interest to you.
  • Include you in the email subscription process in order that you receive the newsletter, regular email updates, blog updates or any updates that you have requested.
  • Fulfil the purchase you have requested via the website or from us directly.

WHY CAN WE USE YOUR PERSONAL INFORMATION?

We will contact you based on the following:

  • We will contact you on the understanding that you have submitted your personal details, requesting further information from us, which we deem to be a legitimate business interest.
  • We will contact you when you arrange an appointment with us, on the basis that we are fulfilling a pre-contractual requirement with you.
  • In the event that you sign up for a service with us or purchase a product, we will be using your personal information to enable us to fulfil the contract that you will have with us.
  • If you have provided a testimonial for our use, we deem this to be a legitimate business interest.
  • In relation to the legal requirements we have for accountancy purposes.
  • If you have provided consent for us to provide you with marketing emails, to keep you informed of products and services, we feel may be of interest to you.

WHO MIGHT YOUR PERSONAL INFORMATION BE PROVIDED TO?

We will only share your personal information with trusted partners where we are required to fulfil our obligations to you. If we do share it, we will ensure the necessary due diligence is carried out, so we are confident the necessary regulations are being met and your personal information is kept secure.

Your personal information may be shared with other companies to help us analyse and better understand our customers and their requirements.

At the time of writing this policy, the trusted partners are:

  • Mailerlite – which is used to record appropriate personal information to enable us to fulfil our obligations to you, in relation to providing regular updates.
  • Stripe – which is used in relation to collecting payments online.
  • Calendly – used to schedule appointments, when appropriate.
  • Zoom – for online meetings and streaming guest interviews.
  • Google Docs/Dropbox – which may be used to transfer and store personal information.
  • Amazon – to fulfil the purchase and shipment of any physical orders.


HOW WE PROTECT YOUR PERSONAL INFORMATION?

Personal Information that you enter into the website, in relation to enquiries, will be sent directly to us to enable us to enact upon your request. Where you purchase a product online, basic information may be retained within the website.

To keep your personal information secure, we store it using standard encryption and information security policies, appropriate for the business. This means that your information is only accessible to individuals who are authorised to access it and only within our approved locations. If your personal information is transmitted to any of our trusted partners, appropriate security measures are in place to ensure this is not intercepted.

LOCATION OF YOUR PERSONAL INFORMATION

All personal information submitted on the website, or via an opt in form, will be retained in the UK. There may be occasional operational requirements to transfer your data outside of the UK, as a result of some of the 3rd parties we may use from time to time, however if we do this, the same degree of protection is given to your personal information as if it was stored and used within the UK and regulated in line with it’s laws.

RETENTION PERIOD OF YOUR PERSONAL INFORMATION

Your personal information will be retained for as long as necessary in line with the legal reasons for utilising this information. When your information is no longer required it will be securely deleted from our records and any 3rd parties. YOUR RIGHTS

In relation to the personal information that we hold about you, you may have the following rights:


  • Right to be informed – you have the right to ask to see what information we hold about you.
  • Right to access – to your personal information. If you wish to obtain a copy of the information, we hold about you please contact the relevant individual (contact details below) in writing with the subject ‘Subject Access Request’. Generally, the information will be provided within one month, however, please be aware that we will take necessary takes to evidence your identity prior to releasing any personal information for your own security.
  • Right to rectification – if you believe the information, we hold about you to be incorrect or incomplete you have the right to ensure this is rectified. For further information please contact the individual stated below. This rectification should typically be complete within one month.
  • Right to erasure – also known as the right to be forgotten. In specific circumstances you will have the right to have your personal information erased or to prevent processing. We can refuse your request for erasure if we have a legal obligation to continue to hold your personal information, but we will inform you if this is the case.
