Q-1

Q: Someone contacted me about an open Vendor Spot is it legit?

A: Brittany Farnach-Brockway is the Vendor Coordinator. She can be reached via email at [email protected] (responses may also come from her work email, [email protected]). She is also very responsive on Facebook Messenger under Brittany Farnach-Brockway.

Important: Do NOT submit payment to anyone or through any platform other than this one. All PayPal payments must be sent to [email protected].

If you’d like it more formal or want to remove the joking aside entirely, I can adjust it.

Q: How much is it to be a Vendor?

A: You will need to review each application individually, as requirements may vary by show depending on the type of vendor you are and the size of the space you are requesting.

Q: Once I have submitted my application and payment When will I know If I have been approved to be a Vendor at Sylvan Beach?

A: Once you have completed the application, you will automatically receive a Thank You notification from Jotform confirming that no further action is required at this time.

You will be notified via email once your application has been approved or denied.

Please be sure to check your Spam, Clutter, or Junk folders. Emails will be sent from Jotform or [email protected].

Village Board Meetings are held monthly, and approval is required from both SVBRA and the Village of Sylvan Beach. We appreciate your patience during this process and will notify you as soon as a decision has been made.

Q: If I am NOT approved will I receive a refund?

A: Yes, you will receive a refund if your application is not approved. Please do not apply if you are selling alcohol, CBD products, or if you are a food vendor offering items beyond traditional “carnival/fair-style” foods (e.g., kettle corn, fresh-squeezed lemonade, potato twisters).

Q: Do you accept more than One Direct Sales Company at your event?

A: No, we do not accept more than one consultant from the same Direct Sales company. For example, you will not see two Scentsy consultants at any of our shows.

Q: Is the price listed for both days?
A: Yes, the price listed covers both days.

Q: Do I have to participate both days?
A: We prefer that vendors participate both days; however, we understand if you are unable to do so. The price remains the same regardless. Please be sure to note on your application if you are unable to attend both days.

Q: Do you accept all types of Food Vendors?

A: No, we only accept “carnival/fair-style” food vendors, such as fresh-squeezed lemonade, kettle corn, and potato twisters. Our goal is never to compete with the wonderful local establishments in town, but rather to offer fun additions that enhance our shows.

Note: Any vendor using a generator must use an inverter generator.

Q: Who will get the Vendor spot if two people apply that are selling the same things?

A: Returning vendors are given the first opportunity to apply. Placement is awarded to the first applicant who submits a completed application along with payment.

Note: Applications are sent to last year’s vendors first.

Q: Where are Vendor Shows Located?

A: The show is located on Main Street, Sylvan Beach. Use the address: 404 Main St., Sylvan Beach, NY 13157. The Village Green is directly across the street from Pizza King.

Q: How will I know where to go when I arrive?

A: You will meet with one of the event coordinators next to the water fountain on the Village Green. Use the address: 404 Main St., Sylvan Beach, NY 13157 (directly across the street from Pizza King). They will provide you with your vendor location and parking pass.

Important: For 2026, there will be some changes. Your vendor location and informational packet will be sent within the week of the show. Please do not email asking about your location.


Q-11

Q: Do I need to bring my own tent, tables, chairs, canopies, extension cords?

A: Yes, vendors are responsible for providing all equipment needed for their booth setup (tables, chairs, canopy, etc.). If you are using a booth with an electric hook-up, you must provide your own extension cords. All cords must be UL-approved and in good working condition. We recommend bringing cords that are at least 50–75 feet long.

Q: Do I need to stake my tent to the ground?

A: Yes, tents must be staked to the ground in order to be used. We recommend using stakes along with weights and/or sandbags for added stability. We do not provide these on-site, and tents that are not properly secured will not be allowed. The wind can pick up quickly, as we are located next to the beach. 🙂

Important: After the show, you must remove all stakes. Leaving them in the ground can damage the lawn mower, as the Village Green is regularly mowed.

Q: Where do I park once I am done unloading?

A: Sunset Park Parking Information

  • Primary Vendor Parking: The Village parking lot behind the roller coaster.

    • You must display your parking pass on your windshield. Failure to do so will result in a ticket.

    • Do NOT park on Main Street or in the spaces in front of the Lake House—these are for your customers.

  • Additional Parking Options:

    • Carello’s Corner Lot (by the traffic light)

    • Village Overflow Lot near Circle Kay (a bit of a walk, but available)

  • Important Notes for Corvette Show Weekend:

    • Corvette Show free parking passes are NOT valid at Sunset Park unless you have a Fun in the Sun parking pass from the Village Clerk or you paid for the meter. Violators will be ticketed.

    • On Sunday of the Corvette Show, vendors should use Carello’s Parking Lot or the Village Overflow Lot.

    • Do NOT park in Circle Kay’s parking lot—vehicles will be towed.

    • A few spots behind Adirondack Bar are available Sunday only when the bank is closed. Do not block the ATM.

    • Parking passes are not valid at Sunset Park on Sunday—ticketing will occur if ignored.

Please be considerate and follow these rules. Coordinators want what’s best for all vendors—easy access for your customers is essential.

Q: I have a handicapped parking pass- Can I park closer?

A: Yes, you may park in any Village parking spot as long as you display both your handicap placard and the Village-issued vendor parking pass. This rule applies to all shows, including the Corvette Show.

Q: I am bringing two Vehicles- Can I get two Village Issued parking passes?

A: No. The Village provides one free parking pass per vendor. Any additional vehicles must be paid for—either hourly or daily—or you may purchase a Fun in the Sun Pass from the Village Clerk.

Q: Can I purchase a Parking Pass from The Village? Where can I park if I have Village Parking Pass?

A: Yes. A seasonal parking pass costs $35 (subject to change). You can obtain one by contacting the Village Clerk during business hours.

With a Village Parking Pass, you may park in any Village lot or on Village streets and will not need to move your vehicle to the designated parking lot. This applies to all shows, including the Corvette Show.

Q-17

Q: Can I pack up early and leave the show?
A: No, unless there is an emergency and you have discussed it with the on-site coordinator. Leaving early without notifying the coordinator may result in not being invited back to future shows. These are advertised events, and we expect vendors to stay for the full duration.

Q: What if I don’t show up on the second day of a show and do not notify the event coordinator?
A: You will not be invited back to future shows. Again, these are advertised events, and we expect the advertised vendors to be present for the entire show.

Q: Can I leave my tent set up overnight?

A: Yes, you are welcome to leave your tent, table, and belongings overnight, but please note the following:

  • We are attempting to provide one security guard, which will only cover Saturday night for each show.

  • Leaving items overnight is at your own risk, regardless of whether a security guard is present.

  • We recommend using tent sides to enclose any items you leave overnight.

  • Security guard hours will be included in your informational packet.

Note: Sylvan Beach is known for bugs and mayflies during the summer months. You may want to bring a small broom and cloth for easy cleanup in the morning.

Q: What happens if I sell items that are not listed on my application?

A: You will be asked to pack up and leave the show with no refund if rules are not followed. Please make sure to list all items you will be selling on your application. The Village is very strict about what can be sold in the park—do not attempt to sell unlisted items or raffle tickets of any kind.
