The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details).
  • Location information (such as, home address).
  • Email address and social media details.
  • Names and contact details of family members, as may be disclosed during coaching conversations, and including next of kin to be notified in the event of an emergency.
  • Bank details, or other payment details as required to receive or process your payment.
  • You may also disclose, during coaching sessions, special category data to us that we will process as part of providing the services to you. This may include data such as health data, data as to sexual orientation, religious or philosophical beliefs, political opinion and ethnic origin data.
 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Registering as a client or signing up to receive emails and other relevant content.
  • Making or managing payment.
  • Communication regarding how and when we will provide our services to you, and our relationship with you.
  • In order that we can send you information about our services.
  • In order that we can inform your next of kin if you need help or support during a coaching session.
  • In order to explain or provide context to the situations and people involved in the coaching discussions you wish to have with us.
 


We will only use your personal data for a purpose it was collected for or a reasonably compatible purpose, if necessary.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

We have a legitimate interest.

Sharing your personal information

We may need to share your personal information with our coaching supervisors, or training assessors for the purposes of meeting training, certification or CPD requirements. Any third parties to whom we transfer your data are required to respect the security of your personal data and to treat it in accordance with the law. They are only allowed to process your personal data on our instructions.

We will not share your personal information for any other purpose, other than those required of us by law.

How we store your personal information

Your information is securely stored.

We keep your personal information only for as long as it is necessary to fulfil the purpose for which we collected it. We may need to retain your data to satisfy any legal, accounting or other reporting requirements, such as a duty to retain some of your information for 6 years after you cease to be a client, for the purpose of tax reporting.

We will then dispose your information by permanently deleting computerised records and securely shredding hand-written notes.


Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information (Subject Access Review).

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.


Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances (for example, not to be included in marketing communications).

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you unless your request is complex or you have made a large number of requests in which case we will notify you of any delay and will, in any event, reply within 3 months.
